Should You Build Your Own Taxi Booking System?

BookTaxiService is taxi booking and dispatch software that takes bookings from your website, checks who is booking, takes card payments into your own Stripe account, gets the job to a driver and produces the invoice afterwards. A booking form is the easy part of a taxi booking system. Below is the rest, as BookTaxiService handles it in October 2026.

A taxi booking system is software that takes a passenger’s trip request, prices it, takes the money, gets the job to a driver and keeps the records. Plenty of Australian taxi operators run on a WordPress contact form, a phone and a spreadsheet, and some are weighing up paying a developer for custom taxi booking software. Both are reasonable starting points. The question is how much has to work at 2 am on a Saturday when nobody is at the desk.

AI coding tools now help a developer, or an owner with a free weekend and a chatbot, build a first version of a booking form. The harder part starts after launch: the owner has to manage the accounts, charges and failures of every service that build relies on, for as long as the business takes bookings.

Below: what a weekend build usually covers, what you keep paying for after launch, nine groups of hidden work with what BookTaxiService does about each one, a side-by-side table, and answers to the questions operators ask before they decide.

If you already know you would rather not build it, see the plans and sign up.

What a Weekend Build Usually Covers

A weekend build on WordPress usually covers three things: a booking form, an email to the office when someone fills it in, and maybe a card payment button.

That is a real start, and plenty of operators have taken bookings that way for years. The form is not where the work is. The work is everything that has to happen after someone presses Submit, every night of the week.

What You Keep Paying For After Launch

A home-built booking system still needs looking after once it is live. Each line below is work a DIY build has to arrange and maintain, next to what BookTaxiService does.

  • Booking emails. An email provider, a sending domain and a way to see bounces. BookTaxiService sends booking email through configured providers and can record the delivery events they send back.
  • Texts to customers and drivers. An SMS provider, a way to handle replies such as STOP, and a plan for message charges. BookTaxiService sends the texts you switch on through its configured SMS provider.
  • Card payments. A payment account plus the code that listens to it. You connect your own Stripe account, and BookTaxiService handles the webhook checks.
  • Somewhere for files to live. Logos, vehicle photos and invoice PDFs need storage. BookTaxiService looks after storage for the files you upload, so you do not set up a separate storage account.
  • Backups. A schedule, somewhere to keep them and old copies cleared out. The software can schedule backups and clean-up when backup storage is configured.
  • Error reports. A DIY build needs a way to report failures. The software can be configured to report server and browser errors.
  • Bot checks. Login pages and public forms attract scripts. BookTaxiService can challenge repeated admin and driver sign-in attempts with Cloudflare Turnstile when it is configured.
  • Analytics. Tracking tags on the booking form. You add your own Google Tag Manager, GA4 and Clarity IDs in your operator settings.

Every outside service adds an account or a cost to manage, and every part of the system needs looking after.

Taking Money

BookTaxiService takes eligible card payments through the operator’s own Stripe account after setup. Card and saved-card features are on Starter, Growth and Scale.

  • The money has to land in your account. BookTaxiService takes eligible card payments into your own Stripe account once you switch card payment on and add your Stripe keys.
  • Regular customers do not want to type their card every time. Customers can choose a saved card when they book.
  • Some trips should hold the card and charge after the ride. Eligible bookings can authorise a card and capture it later under your payment policy.
  • Extras turn up after the booking. Staff can charge an eligible saved card or send the customer a payment link for the extra amount.
  • Refunds come in full and in part. Staff can request a full or partial refund from the admin, up to the amount still refundable. Refunds are a staff decision, not automatic.
  • Stripe sends the same event twice, or late. BookTaxiService checks each Stripe webhook’s signing secret, ignores duplicate events, retries failed ones and watches for events that went stale or failed.
  • A new card over the phone is a separate case. Charging a new card for a phone booking needs MOTO (mail order and telephone order) enabled first.

Holds, capture timing and refunds all depend on where the payment is up to, which is why a DIY build has to track payment state, not only “paid” or “not paid”.

BookTaxiService charges a separate per-trip platform fee on completed trips, however the passenger pays. The amounts are on the pricing page, and the taxi card payments page covers the payment side in more detail.

Knowing Who Is Booking

BookTaxiService can check a customer’s email or phone with a one-time code before a booking from the booking form goes through.

  • Anyone can type any name and number into a form. BookTaxiService sends a code by email or SMS and checks it before using that identity for the booking.
  • Codes cannot last forever. Each code expires after 10 minutes and allows five tries.
  • “Resend code” is a button people press over and over. A resend needs the same email or phone, waits out a cooldown and runs into request limits.
  • Every code text costs someone money. SMS code attempts have their own budgets per phone number and per IP address.

Texts That Reach People

BookTaxiService includes SMS on Starter and above, and each type of text is switched on by the operator. Out of the box, customer texts, driver assignment texts and driver offer texts are off.

  • Customers want a confirmation and a reminder. BookTaxiService can send customer booking confirmations, reminders, and cancellation and rejection messages.
  • Drivers need to know about a job. BookTaxiService can text drivers when they are assigned, when a job is offered and before a trip starts.
  • Someone replies STOP. BookTaxiService checks that the reply really came from the SMS provider, records STOP and similar keywords, and checks that record before sending the next text. A START reply clears it.
  • A sent text is not a read text. BookTaxiService records the booking emails and texts it queues, and a queued message is still not a delivered one. No delivery is guaranteed.

Getting the Job to a Driver

BookTaxiService starts with manual dispatch on every plan and adds automatic options as the fleet grows. The taxi dispatch software page shows how each one works.

  • Someone has to pick a driver. Staff can assign a driver by hand on Starter, Growth and Scale.
  • At 2 am nobody is at the desk to pick one. Growth adds driver offers and auto dispatch, including an ASAP search for jobs that need a car now.
  • Bigger fleets offer jobs in tiers. Scale adds tiered dispatch.
  • Drivers need somewhere to see the job. Drivers get a web portal where they view and accept job offers, then run the trip from an active-job page.
  • A driver has to notice a new offer. The offers page refreshes every 15 seconds while it is open and can play a chime when a new offer arrives. Offer texts are optional and switched on by the operator.

BookTaxiService does not have a released store driver app, and the driver portal does not send background push alerts. A driver sees new offers while the offers page is open, or by text if you switch offer SMS on.

Airport Pickups

BookTaxiService tracks eligible flights on Growth and above, once the flight data provider is set up.

  • Flights land early, late or not at all. BookTaxiService checks flight status and delay data for eligible airport bookings around the arrival time.
  • Some changes need a person. Conflicts, trips already under way, large shifts and cancelled flights go to an attention list for staff.
  • Moving the pickup on its own is a choice. Pickup auto-shift is optional and off by default. When you switch it on, it can move an eligible pickup after a material flight change.

A late flight does not guarantee an automatic pickup change or a new driver. More on airport work is on the airport transfer booking software page.

Tax and Paperwork

BookTaxiService produces numbered invoices and receipt PDFs for taxi bookings, with ABN and GST details where they apply and are set up.

  • Every invoice needs its own number. BookTaxiService numbers invoices and generates payment and trip receipt PDFs.
  • Passengers and companies ask for the ABN and the GST. Documents can show your ABN, or a corporate customer’s, and the GST lines that apply.
  • Prices go in with tax included or tax excluded. Both display modes are available and the choice is yours. BookTaxiService does not recommend one.
  • Account customers pay later. Invoice payments are on Starter and above, and recurring invoices start at Growth.

The GST guide for taxi operators walks through the settings and the documents.

Keeping the Bad Guys Out

BookTaxiService limits repeated requests on the public parts of the system.

  • A bot can submit a booking form again and again. Booking submissions are limited per IP address, and booking form sessions have their own limit.
  • Login pages get guessed at. Sign-in and messaging routes have separate limits. BookTaxiService can ask for a Cloudflare Turnstile check after repeated admin or driver sign-in failures when it is configured.
  • Some operators switch off code checks for quotes. In that case the booking form can use a Turnstile challenge for quote requests when the platform has it configured.
  • Code texts are a target for people trying to run up an SMS bill. BookTaxiService caps how many code texts one phone number or one IP address can trigger in an hour and in a day.
  • Staff accounts can see everything. Office staff sign in to their own accounts, and staff pages check each person’s role before they open.

These limits slow abuse down. They do not make it impossible, and no honest booking system claims they do.

When Things Break

BookTaxiService has scheduled backups, health checks and error reporting built into the software.

  • Databases fail. BookTaxiService can run scheduled backups and clear out old ones.
  • Someone needs to know the system is answering. The software includes health checks and can report whether scheduled jobs run.
  • Errors happen when nobody is watching. The software can be set up to report application errors to the people who fix them.

A DIY build needs all three, plus a person who checks them.

The Quiet Details

BookTaxiService handles a set of small jobs that nobody lists in a quote until they go wrong.

  • Daylight saving moves the clock twice a year. BookTaxiService uses your operator timezone and the pickup’s timezone for local pickup times and reminder dates, so your timezone setting has to be right.
  • Customers want to see their own bookings. Signed-in customers can see their bookings and manage saved cards.
  • More than one person runs the office. Staff pages need a sign-in and the right role, and Growth adds multiple admins.
  • Fares are rarely one flat rate. Your fare rules drive the booking form price, and Growth adds advanced rules such as peak, hourly and dead-kilometre pricing. On Starter, the form takes quote requests by default.
  • The booking form has to live on your website. BookTaxiService gives you an embeddable booking form for the site you already run. See the taxi booking form guide.

Keeping What You Have

BookTaxiService does not ask you to throw out your website. You can keep your WordPress site and add the BookTaxiService booking form to a page that allows embeds, such as the page where your contact form sits today. The taxi booking form guide shows where it goes.

When Building Your Own Makes Sense

Building your own taxi booking system can be the right call for a large fleet with an in-house development team and needs that no off-the-shelf product covers, such as a tight link to systems only your business uses. In that case the list on this page is a useful scope document: every item on it is something your team will build, test and keep running, at night and on public holidays, for as long as the system is in use.

BookTaxiService is built in-house too. The difference is that the shared platform looks after most of this list for every operator at once, and each operator only sets up their own Stripe account and tracking IDs.

FAQ

Frequently Asked Questions

Can I keep my WordPress website?

Yes. You can keep your WordPress website and add the BookTaxiService booking form to a page that allows embeds, in place of a contact form or alongside one. The taxi booking form guide explains how.

Do I need my own Stripe account?

Yes, for online card payments. BookTaxiService takes card payments into the operator’s own Stripe account, so you switch card payment on and add your Stripe keys before customers can pay by card. BookTaxiService also charges a separate per-trip platform fee on completed trips, however the passenger pays, listed on the pricing page.

Is there a driver app?

BookTaxiService does not have a released store driver app. Drivers use a web portal in their phone’s browser to view and accept job offers and run the trip. The offers page refreshes every 15 seconds while it is open and can play a chime, and you can switch on offer texts so drivers hear about jobs by SMS.

What does BookTaxiService cost compared with hiring a developer?

BookTaxiService plan prices and the per-trip fee are on the pricing page. For a fair comparison, ask any developer to quote against the full list on this page, not only the booking form: payments and refunds, Stripe webhooks, one-time codes, texts and STOP replies, dispatch, a driver portal, flight changes, invoices and GST, abuse limits, backups and daylight saving. Ask too who keeps it running after launch.

Is a taxi booking system better than a spreadsheet?

A spreadsheet works while one person in the office reads every booking, picks every driver and chases every payment by hand. BookTaxiService can price a request from your fare rules, take eligible card payments after Stripe setup, help staff assign a driver and produce an invoice, and Growth adds automatic dispatch. The right time to move is when the manual work starts to slip at night or on busy days.

Can I start with manual dispatch?

Yes. Manual driver assignment is on every BookTaxiService plan, starting with Starter. Growth adds driver offers and auto dispatch, and Scale adds tiered dispatch, so you can move up when the fleet and the night shift need it.

Does BookTaxiService send texts to customers and drivers automatically?

BookTaxiService sends texts only for the types you switch on. SMS is included on Starter and above, but customer texts, driver assignment texts and driver offer texts start switched off in your settings. Once on, BookTaxiService honours STOP replies, and no SMS or email delivery is guaranteed.

Will BookTaxiService move airport pickups when a flight is late?

Not on its own unless you switch it on. Flight tracking is on Growth and above, and pickup auto-shift is optional and off by default. When it is on, BookTaxiService can move an eligible pickup after a material flight change; conflicts, trips already under way and cancelled flights go to an attention list for staff.
