Airport Transfer Booking Software for Taxi Operators

BookTaxiService is taxi booking and dispatch software that lets Australian taxi operators take pre-booked airport pickups and drop-offs online. The booking records passenger and bag counts, plus any flight number and pickup instructions the customer supplies, for the office and the driver.

An airport job carries more detail than a run across the suburbs. The customer wants a fixed price, the office needs the flight and the terminal, and the driver needs to know where to wait and how many bags are coming. When those details arrive by phone or email, someone types them in again, and the airport fee or the second suitcase is what gets missed.

As of October 2026, BookTaxiService has a built-in list of 11 common Australian airports: Melbourne (MEL), Sydney (SYD), Brisbane (BNE), Perth (PER), Adelaide (ADL), Gold Coast (OOL), Cairns (CNS), Hobart (HBA), Darwin (DRW), Canberra (CBR) and Avalon (AVV). You add your own venue and terminal records with pickup instructions, and a booking that matches an airport venue is marked as an airport pickup or drop-off. The fares, fees and terminal instructions are yours to set up.

Below: what an airport booking needs, how BookTaxiService handles each item and which plan or setting it depends on, a summary table, and a seven-step setup checklist.

What Is Airport Transfer Booking Software?

Airport transfer booking software is a booking system that takes pre-booked trips to and from airports and records the details an airport job depends on: pickup date and time, flight number, terminal, passengers, luggage and the fare. BookTaxiService handles airport transfers inside the same taxi booking and dispatch system that runs the rest of your work, so an airport job is booked, priced and allocated like any other.

A contact form or a phone call gets you a message about an airport trip. A taxi booking system gets you the booking itself, with the airport details in fields your office and your drivers can read.

What an Airport Booking Needs, and How BookTaxiService Handles It

BookTaxiService covers ten things an airport job needs. Each one below says what happens and what you have to switch on or set up first. On the customer booking form, the customer picks “Airport Transfer” as the service type.

Fixed Airport Fares

Fixed fares in BookTaxiService are set per route. You add the airport route as a fixed rate in your pricing, and you can put toll and parking amounts on the same fixed rate, so an applicable fixed rate supplies the base fare before any other configured adjustments and fees.

Airport Fees, Tolls and Parking

Airport fees in BookTaxiService are configured by you, not applied automatically. For catalogued airports you can set pickup and drop-off fees per leg or per terminal. Advanced airport configuration is on the Growth plan and above.

Road tolls work separately. When you enable tolls, estimated road tolls can show as their own visible fee. The customer review step shows the visible fees before the customer books; any fee you set as bundled sits inside the fare instead.

Flight Number

The flight number field on the BookTaxiService booking form is optional. By default it appears when the pickup or drop-off is an airport, and you can set the widget to show it on every booking. Customers are not forced to enter one, so a booking without a flight number still goes through.

Passengers and Luggage

The BookTaxiService booking form asks for:

  • the passenger count
  • the number of large bags
  • the number of small bags
  • special instructions, where the customer can name a pickup point

Bag counts matter more on airport work than anywhere else. Four passengers with six large cases is a different vehicle from four passengers with carry-on.

Pickup Instructions and Terminals

Terminal labels and pickup instructions in BookTaxiService come from the venue and terminal records you create. The terminal label and instructions appear on a booking when the customer selects the configured venue and terminal.

There is no separate meeting-point field. The customer’s special instructions and your venue pickup instructions carry that information between them.

Return Trips

Return trips in BookTaxiService are off by default. When you enable return trips, the customer can choose a round trip and set a return date and time on the same booking, which suits the customer flying out on Friday and back on Monday.

Child Seats

Child-seat extras are available when you enable them in BookTaxiService. When enabled and selected by the customer, a child-seat extra is saved on the booking and listed under Extras on the driver job page.

Minimum Booking Notice

Customers pick the pickup date and time themselves. You can set a minimum booking lead time in BookTaxiService to stop customers booking pickups that fall inside that notice period.

Flight Tracking (Growth and Above)

Flight tracking in BookTaxiService is on the Growth and Scale plans, not Starter. For an eligible booking with a flight number, BookTaxiService can check the flight’s status and show the status, delay and estimated arrival to the driver when tracking data is available.

Pickup times are a separate decision. A pickup-time change is applied automatically only when you turn that setting on and the change passes eligibility checks; other changes go to your staff to decide. BookTaxiService does not promise live data for every flight or an automatic adjustment for every delay, and you should not promise your customers either.

What the Driver Sees

The BookTaxiService driver web portal job page shows the driver:

  1. the scheduled pickup time
  2. the pickup and drop-off addresses
  3. terminal labels and venue instructions
  4. passenger and bag counts
  5. special requirements
  6. the flight number on airport jobs

On Growth and above, the driver can also see flight status, delay and estimated arrival when tracking data is available. Drivers open the job in a browser on their phone; there is no app to install.

Instant Booking, Payment and Dispatch for Airport Jobs

Airport bookings in BookTaxiService follow the same booking, payment and dispatch rules as every other job, and your plan sets most of them.

Instant booking or quote. On Starter, public booking widgets are quote-only by default, so every airport request comes to you to price. From Growth, instant booking is available when your settings allow it, and the customer sees the fare and books on the spot.

Payment. Card payments go through your own Stripe account when you enable them. Read how BookTaxiService payments work.

Dispatch. Manual dispatch is on every plan. Automatic dispatch and offer dispatch start from Growth. See how taxi dispatch software allocates the job once it is booked.

Where customers book. Customers book in the browser, through a form embedded in your website or a hosted booking link. The guide to adding a taxi booking form to your website covers both options. Compare what each plan includes.

Setting Up Airport Transfers

Setting up airport transfers in BookTaxiService takes seven steps, all inside your own account:

  1. Choose a plan and create your operator account at the BookTaxiService signup page. Pick Growth or above if you want flight tracking and advanced airport configuration.
  2. Add your airport venues and terminals, with the pickup instructions you want drivers and customers to see.
  3. Add fixed rates for your airport routes, including any toll and parking amounts.
  4. Set your airport fees and toll setting, choosing which fees show on their own and which sit inside the fare.
  5. Switch on the booking options you offer: return trips, child-seat extras, an always-visible flight number field, and your minimum booking lead time.
  6. Add your drivers so airport jobs can be allocated, and add your Stripe keys if you want card payments online.
  7. Put the booking form live by embedding it in your website or sharing your hosted booking link.

FAQ

Frequently Asked Questions

How can a taxi company take airport transfer bookings online?

A taxi company can take airport transfer bookings online with BookTaxiService by putting its booking form on its website or sharing a hosted booking link. The customer chooses “Airport Transfer”, enters the pickup date and time, flight number, passengers and luggage, and the booking lands in the operator’s BookTaxiService dashboard ready to price or dispatch.

Do customers have to enter a flight number?

No. The flight number field on the BookTaxiService booking form is optional. The field appears by default when the pickup or drop-off is an airport, and the operator can set the form to show it on every booking, but a customer can book without one.

Does BookTaxiService track flights?

Yes, on the Growth and Scale plans. For an eligible booking with a flight number, BookTaxiService can check flight status and show the status, delay and estimated arrival to the driver when tracking data is available. Pickup-time changes happen automatically only when the operator turns that setting on and the change passes eligibility checks; other changes go to staff to decide.

Can I charge a fixed fare for airport trips?

Yes. BookTaxiService lets a taxi operator set a fixed rate for a specific route, such as a suburb to the airport, and put toll and parking amounts on that fixed rate. Airport pickup and drop-off fees per leg or terminal are part of advanced airport configuration, which is on the Growth plan and above.

Which airports does BookTaxiService support?

BookTaxiService has a built-in list of 11 common Australian airports, including Melbourne, Sydney, Brisbane, Perth and Adelaide. Operators add their own venue and terminal records with pickup instructions, and a booking that matches an airport venue is marked as an airport pickup or drop-off. Airport fees and terminal details need setting up for each airport you serve.

Can customers book a return airport trip in one booking?

Yes, when the operator enables return trips. With return trips switched on, a BookTaxiService customer can choose a round trip and set the return date and time on the same booking. Return trips are off by default.

How does the driver know where to meet an airport passenger?

The BookTaxiService driver web portal shows the terminal label, the venue pickup instructions and the customer’s special instructions on the job page, along with the flight number, passenger count and bag counts. BookTaxiService has no separate meeting-point field; the pickup point comes from those instructions.
